How to Communicate Effectively with Clients

Backyard barbecues, hot summer days, and home construction projects are still in full swing. Your phone may be ringing like crazy with customer calls and it can be a challenge to keep up with demand. Effective communication is a key part of having excellent customer service, so we’d like to outline some top tips for you and your team to be even better communicators.

1. Actively listen to your clients

This may sound simple, but there is more to being a great listener than you think. Being an active listener starts with being attentive. Then it’s important to ask questions and further clarification on anything that doesn’t make sense. Your clients understand their issues differently than you do and don’t always have the right terminology to express their desired outcome with their landscape. Summarizing their needs and repeating back to them what they’ve asked for is a great way to understand what your client is looking for at the job site.

2. Communicate effectively by setting reasonable expectations

It’s a good idea to set reasonable outcomes instead of over-promising what you can deliver. If your client has product or technical questions that you don’t know the answer to, be honest with what you do know and follow up with the complete answer. 3. End each interaction with an invitation

Finally, there is a easy question to add to the end of your conversations with a client. Simply ask: “Is there anything else I can help you with?” It shows that you care and will go the extra mile, plus allows them to expand upon their initial request.

Studies have shown that the majority of customers are willing to spend more money with a company that has great communication skills and customer service.
